What information we collect

We collect the following personal information through this website:

  • Enquiry and qualification flow data: your name, email address, phone number, company name, postcode, and details about your cleaning requirements — submitted through our qualification flow or contact forms.
  • Careers application data: your name, email address, phone number, role interest, experience level, and DBS status — submitted through our careers application form.
  • Analytics data: anonymised data about how you use this website, collected via Google Analytics 4 and Microsoft Clarity (see the Cookies section below).

We do not collect payment card information through this website.

Why we collect your information and our legal basis

We use your information for the following purposes:

  • To respond to your enquiry — Legal basis: legitimate interests (responding to business enquiries is a legitimate business activity).
  • To assess your cleaning requirements and provide a quote — Legal basis: legitimate interests.
  • To send you information about Vigil's services where you have indicated an interest — Legal basis: legitimate interests for business-to-business marketing; consent where required.
  • To process your job application — Legal basis: necessary steps prior to entering a contract.
  • To improve this website and understand how visitors use it — Legal basis: legitimate interests, with your consent where cookies are used.

Who we share your information with

We share your personal information with the following third-party service providers who act as data processors on our behalf:

  • Resend — email delivery service used to send and receive enquiry emails. Data processed in the EU.
  • Vercel — website hosting provider. Data processed in the USA under standard contractual clauses.
  • Google Analytics 4 — website analytics. Data processed in the USA under standard contractual clauses. Analytics data is anonymised before transmission.
  • Microsoft Clarity — session recording and heatmap analytics. Data processed in the USA under standard contractual clauses.

We do not sell your personal information to third parties. We do not share your information with third parties for their own marketing purposes.

How long we keep your information

  • Enquiry data: retained for up to 2 years from your last interaction with us, unless you request deletion.
  • Client contract data: retained for the duration of the contract plus 6 years (in line with UK limitation periods for contract disputes).
  • Job application data: retained for 6 months where unsuccessful; incorporated into employment records where an offer is made.
  • Google Analytics data: retained for 26 months (Google Analytics default).
  • Microsoft Clarity data: retained for 30 days (Microsoft Clarity default).

Your rights under UK GDPR

Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, you have the following rights:

  • Right of access: to request a copy of the personal information we hold about you.
  • Right to rectification: to request correction of inaccurate information.
